Retreat Policy/House Rules

We strive to provide our guests with an exceptionally clean, safe, and friendly experience.  The following House Rules have been established based on industry standards, management and operational procedures, and our personal experience.  These House Rules are considered a part of our reservation agreement with you.  As our guest, by reading and signing your rental agreement you are agreeing to abide by all of our House Rules, terms and conditions, and procedures.  These House Rules are presented here to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between White Raven and the guest.  Our House Rules may change from time to time, so please check back often.

House Rules

Terms and Conditions

White Raven LLC makes its best efforts to ensure that all the information that appears on its website is accurate.  However, no warranty, expressed or implied, is given that the information provided on this website is error free.  White Raven LLC does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice.

100% SMOKE-FREE

For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cigars, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our property. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others.  A Designated Smoking Area is provided outside and away from the building (in the main parking lot or by the fire-pit).  FIREWORKS ARE BANNED. Violation will result in an immediate $500 fine charged to the card of the registered guest as well as possible eviction without refund of the entire rental party.

 

Check-In / Check-Out

The lease starts at 12:00 PM (Check-in) on the date of booking. The lease ends at 9:00 AM (Check-out) the following morning. Early check-in & late check-out requests may be accommodated dependent upon availability.  Guest shall also have the option to extend their stay, additional charge and fees will apply, and is dependent upon availability.  Check-in / Check-out information will be provided in an email attachment upon receipt of total payment. 

Cancellation Policy

In the event the guest should cancel, all payments will be refunded, minus a cancellation fee.  For cancellations more than 30 days prior to the date of arrival, a $100.00 cancellation fee will be imposed.  For cancellations, made within 30 days a cancellation fee of 50% of the payment will be imposed.

 

Payment

Bookings may be purchased with a credit card or personal check.  However, a valid major credit card will be required at check- in to secure the property.  Guests must be 18 years and older.  We accept Visa, Master Card, American Express, and Discover Card. 

Pets

Pets are NOT allowed.  Evidence of pets will result in an additional cleaning fee.

 

Children

Well behaved children of all ages are welcomed.   As the parents, guardians, or chaperones of children you are personally and legally responsible for and must supervise them at all times.  For safety reasons, please do not leave children unattended in rooms or allow them to roam the property unsupervised.  Children under the age of 13 are not allowed in the hot tub area without being accompanied and supervised by their parent/guardian/chaperone.

 

Entrance Codes

Entrance codes are issued to the registered guest only.  DO NOT share entrance codes with more people than necessary.  For your safety and privacy, and that of our future guests, please maintain the secrecy of the codes issued to you before, during, and forever after your stay.

 

Quiet Hours

Exterior quiet hours are from 12:00 a.m. to 9 a.m. If congregating outside during these hours, please keep voices and music at a respectful level.

 

Parking

All vehicles must park in the designated parking lots only.  Absolutely no parking along the road, along the passing bump-outs, in the fields, etc. is permitted.  Guest will be held responsible for any damage done to White Raven LLC property from violation of these parking terms. All trailers and RVs are required to park in the lower parking lot. All vehicles are parked at the risk of the owner.  White Raven LLC  shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the property.

 

Weddings and Other Celebrations

DRIFTSIDE & CLIFFSIDE are reserved for overnight accommodations only. All weddings and other celebratory events must be hosted at THE VENUE. Guests suspected of using DRIFTSIDE or CLIFFSIDE for such events will be charged THE VENUE equivalent fee for such events. 

 

Housekeeping

There is no daily housekeeping service.  While linens and bath towels are included, daily maid service is not included in the rental rate. 

 

Laundry

The property has a washer and dryer on the lower level for guest use.

 

Trash

To keep animal issues at bay, please dispose of all food scraps and trash in the main dumpster by the entrance gate.  

 

Dishes

Dishes, utensils, kitchen cookware, and other items are available for your use.  Guests are responsible for cleaning used items prior to Check Out.  All items are to be returned to their proper locations or left clean/running in the dishwasher(s) before Check Out.

 

Hot Tub

The hot tub temperature is 104 degrees.  Adult supervision is required for all children under the age of 13.  No children under the age of five or pregnant women permitted.  No life guard on duty.  No dogs, food, drinks, or smoking is allowed in the Hot Tub area. 

 

Gas Grill

Our gas grill is located on the patio.  Remember that gas grills are sources of fire, and as such shall only be used by guests familiar with the safety and operation of these types of appliances.  All valves on the propane tank and grill shall be closed when not in use.  Propane will be provided.

 

Pond & Grounds Hazards

This is mountain property and as such can be dangerous.  Exercise caution when roaming the grounds.  Roads and trails may be steep and icy, four wheel drive vehicles are highly recommended during winter months. No swimming in the Pond.  Stay off Pond ice during winter months, unless deemed safe by a White Raven authorized agent.

 

Hunting & Fishing

No cleaning of game animals is permitted anywhere on White Raven property.  Violation will result in an additional clean-up fee.  Please dispose of all fish entrails immediately in the main dumpster by the entrance gate. DO NOT leave them outside, it will attract bears. 

WiFi Access, TVs, Game Consoles:

Access to our WiFi is free for our registered guests.  WiFi signals are subject to change without notice depending on the room’s location, the status of our WiFi-equipment, and interference from other local wireless signals.  White Raven LLC assumes no liability for guest use.  Extra amenities, such as TVs and game consoles may also be available in certain rooms.  These extra amenities are provided as a courtesy to our guests, the failure of operation of these extra amenities is not a basis for any refund.  White Raven LLC will make every effort to have such items repaired but do not guarantee their availability during Guest stay.

 

External Security Cameras

Guest understands and accepts that there are external security cameras installed on the Property.  There are NO cameras located inside.  The cameras are installed to protect the Property from potential theft, for maintenance, and for monitoring purposes.  Guest accepts and acknowledges that video footage may be reviewed if there are concerns.  Guest acknowledges that the presence of the cameras in no way places a duty upon White Raven LLC to provide security or protection to Guest or anyone Guest invites to use or occupy the Property.  Guest understands and agrees that the cameras are there for White Raven LLC’s purposes and agrees not to obstruct or tamper with any of the external security cameras. 

 

Water & Septic

Please conserve water whenever possible. This property utilizes a septic system for wastewater.  The septic system is very effective; however it may clog up if improper material is flushed.  DO NOT FLUSH anything other than toilet paper (i.e. feminine products should not be flushed at any time). 

 

Utilities

Outages in basic utilities such as electricity and water can occur by mechanisms beyond our control.  No refunds or compensation will be given for any such occurrence.

 

Property Unavailability

In the unlikely event that the Property is unavailable for any reasons beyond our control, including without limitation; acts of God such as fire, water damage or natural disasters, White Raven LLC will refund the total payment made by Guest and this agreement will be deemed terminated.  In no event will White Raven LLC be liable to Guest beyond the return of the total balance paid by Guest.  

 

Firearms and Weapons

The safety and security of our guests and staff is extremely important to us.  Our Firearms and Weapons Policy is designed for the protection of our guests, vendors, staff, and owners, and pertains to the presence of firearms and weapons on White Raven LLC premises.  White Raven LLC recognize that guests and vendors may legally possess firearms or weapons for a variety of legitimate purposes.  This policy has been developed to create a safe environment by providing appropriate guidance over the custody of firearms and weapons on our premises.  White Raven is private property.  Guests, who are lawfully permitted to possess a firearm or weapon, may bring such onto our premises for storage purposes only, with the understanding that they are personally responsible for the following:

  • Guests must abide by all Federal, State, and local laws.

  • Firearm and weapons must be appropriately registered.

  • Firearms must be unloaded

  • No cleaning of firearms is permitted on premises.

  • Firearms and weapons must be safeguarded and secured in either a locked, hard sided firearm container or a soft gun case provided by the guest at all times and clearly labeled with their name and contact information.

Guests and vendors who fail to abide by our policy may be asked to leave the premises, are subject to trespass and may be subject to further legal action.  Exempted from this policy are law enforcement officers and designated military personnel who are on-duty and required to carry firearms in the performance of their duties.   No exemption to this policy is allowed for private persons, even those licensed and permitted to carry a firearm openly or concealed under local, state, or federal law, are exempt from this policy.  It is our policy to promptly turn over any firearms left on the property to the Mineral County Sheriff's Office if we are unable to contact the owner.  Questions concerning these policies or its implementation may be addressed to the owners directly (406) 549-0842.

Damage and/or Theft

You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room (s), premises or property caused by you or any person in your party whether or not staying at the property during your stay.  White Raven LLC reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by White Raven LLC as a result of the aforesaid.  Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to the property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee,  guest compensation, etc.  We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

 

Damage Discovered after Check Out

Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. Any damage to White Raven LLC property, whether accidental or willful, is the responsibility of the registered guest.  Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest.  Any lost revenue resulting from the Property being un-rentable due to damage, will be charged to the credit card of the registered guest.  In extreme cases, criminal charges will be pursued.

 

Damage to mattresses and linens including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

 

The cleanliness of our property  is extremely important to our guests.  If you bring any infestation into your room or onto our grounds, we may charge you for any and all costs and expenses, including immediate or urgent response requirements and loss of revenue, that we deem necessary to address the infestation.

 

Emergency or Fire

Please notify 911 and White Raven staff immediately in the event of a fire or other emergency.  The property is fully equipped with smoke detectors, a fire extinguisher, fire safety information and emergency evacuation plans in the Guest notebook.  Please review this important information.

Right to Refuse Service  

White Raven is privately owned and operated.  We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws.  White Raven will refuse to admit or refuse service or accommodation or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the State of Montana and the owners for the operation and management of the property. White Raven will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with state liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the property for an unlawful purpose; seeks to bring into the property: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to property or guests; causes or permits persons to exceed the maximum allowable occupancy, refuses to abide by the reasonable standards or policies established by White Raven for the operation and management of our Retreat.
